A practical checklist for buying spare parts in bulk

Standardise exact models, compare pack contents and check the whole delivered cost.

Bulk buying is useful when the same compatible part is needed repeatedly. A lower unit price is less helpful if half the pack fits the wrong equipment.

Make a model list

Record each machine or cabinet model and the matching consumable code. Group identical requirements. Keep similar-looking but incompatible parts on separate lines.

Count what is included

Distinguish a pair, individual replacement, manufacturer pack and complete repair kit. State the number of usable parts required rather than just a number of packs.

Include freight and storage

Compare GST treatment, freight, split shipments and any bulky-goods conditions. Buy quantities that suit your actual use and the manufacturer’s storage advice.

Use a written quote

Ask for exact codes, quantities, availability and delivered cost. A repeat schedule can help suppliers quote, but it does not guarantee a discount.
